HCWH Europe seeks a Membership and Admin Officer

Brussels — Health Care Without Harm (HCWH) Europe is recruiting a paid Membership and Administration Officer based in Brussels. Details are below. Closing date for applications is 15 March 2013.

Position Overview

HCWH Europe is looking for a dynamic, communicative person that can take initiatives and follow them through achieving clear measurable results. Membership recruitment and membership retention are important strategic issues for HCWH Europe. The Membership and Administration Officer will report to the Executive Director. This is a fixed term contract of 9 months with potential for extension after that time. HCWH offers additional Belgium benefits, such as ticket restaurants vouchers, monthly travel support, holiday payment and a 13 months salary.

Job Responsibilities

1. Responsible for all administrative functions for membership promotion, recruitment, retention of HCWH Europe’s diverse membership base (71 European members)
2. Maintain membership base and contacts, on a daily basis communicate with members and organisations, interested in HCWH Europe membership and communicate via email and/or telephone.
3. Develop outreach membership strategy for European countries where the organisation is not yet represented, but strategically important, such as in Germany, Spain, Italy and Poland.
4. Increase the number of partners in countries where the organisation has already a strong presence (target: at least 3 more members)
5. Update the membership welcome pack and information material of HCWH Europe
6. Promote the Global Green and Health Hospital initiative in Europe and ensure new memberships and case studies by members and collaborate with the Global Green and Healthy Hospitals (GGHH) Community Manager
7. Manage and enable staff to share files, data and knowledge via Google drive, Google documents and Google calendar
8. Responsible for smooth day-to-day running of the Brussels office (check on workflow with the director for time sheets, monthly expenses, etc.)
9. Prepare and control for paying expenses related to the running of the Brussels Office, manage the petty cash system
10. Reach out to other membership officers in the HCWH network and among Brussels NGOs to learn about best practice and collaboration
11. Work with the Communication Officer to provide examples for regular newsletter features of our members
12. Organise a face-to-face retreat for HCWH Europe’s Board, Members Council, and staff to improve cooperation and teamwork in collaboration with the Executive Director.
13. Carry out other duties that may reasonably be required in the light of the main purpose 
of the job.
14. Able and willing to travel to meetings within Europe potentially internationally, as the work requires.

 

Educational/professional qualifications
• Bachelor or Master Degree in Communications, Social Science or Business Administration;
• Working knowledge of EU institutions and processes;
• Experience or interest in environmental health policy;
• Previous experience in membership organisation and development strongly desired.

Skills and Abilities

• Excellent command of English and/or French. In addition, good written and oral communication skills in Spanish and/or another European language would be an advantage;
• Excellent telephone manners, being able to respond to our various members politely and courteously;
• Strong interpersonal skills and ability to work successfully within a team and autonomously;
• Enthusiastic and flexible personality with a sense of initiative and flexibility in undertaking a workload within tight deadlines;
• Ability to think strategically and creatively while organising time efficiently;
• Excellent organisational skills and ability to generate ideas;
• Good working knowledge of standard office software (Word, PowerPoint, Excel), familiarity with website tools;
• Some experience with and understanding of business financial administration.
